Cross-Institutional Course Enrolment

In order to enhance the opportunities for postgraduate students to have access to courses and expertise at sister institutions in Hong Kong, the seven UGC-funded universities in Hong Kong (City University of Hong Kong, Hong Kong Baptist University, Hong Kong University of Science and Technology, Lingnan University, The Chinese University of Hong Kong, The Hong Kong Polytechnic University, and The University of Hong Kong) have made an agreement to open up research postgraduate courses to our research postgraduate students.

Information for HKU research students taking courses offered by other universities:

  1. Students who find certain course(s) useful to their research studies may, with the endorsement from the supervisor and the Departmental Research Postgraduate Committee (DRPC), apply for taking the course(s).

  2. Students should only take courses offered by other institutions if there are no equivalent courses being offered by HKU.

  3. The maximum percentage of courses that HKU students can take from outside universities shall not exceed 50% of their departmental coursework requirement.

  4. A standard form will be used. The student should complete the application form and submit, together with our Form GS15 "Endorsement Form for Cross-Institution Course Enrolment" to the Graduate School at least three working days before the application deadline specified by the host universities.

  5. The Graduate School will forward the application to the coordinating office in the host university and students will be informed of the result of the application by the host university.

  6. The host university will inform the Graduate School of the examination result(s) of the student and the result(s) will be included in the HKU official transcript, on a Pass/Fail basis, despite whether a grade has been given to the subject by the host university.

Information for research students of other universities taking HKU courses:

  1. Research postgraduate students from other universities who wish to take courses offered by HKU should complete the standard form adopted by all institutions. They should only take courses that are directly relevant to their field of study.

  2. Applicants should complete Sections I to III of the form and obtain endorsement from the appropriate coordinating office of the home institution, e.g. Graduate School of CUHK, ARRO of HKUST, etc.

  3. For course(s) with pre-requisite requirement, applicants should attach documents, e.g. transcripts and syllabuses, to support their application (for Semester 1 of 2009-2010, the deadline is August 25, 2009).

  4. The coordinating office of the applicant's home institution will send the application form to the Graduate School of HKU before the specified deadline.

  5. The Graduate School of HKU will seek approval from the course-offering units on the application received. Acceptance of the student is at the discretion of HKU and is subject to availability of places, student quota and other pertinent factors of the courses.

  6. The Graduate School of HKU will inform individual student of the result of his/her application and the confirmed timetable before the course commences by email.

  7. Students are only allowed to drop any subjects within the first 2 weeks of commencement of the course.

  8. Students admitted to study at HKU will be officially registered for the course as a visiting student and are required to participate fully in the course (including completion of coursework and examinations).

  9. Waivers of fees will be granted to visiting students under the scheme.

  10. An official letter will be issued to students for identification purposes but no student card will be issued. Students are requested to use their JULAC library card to access our libraries and they are not allowed to use our University facilities other than those directly associated with the courses.

  11. Research postgraduate courses of HKU will only be assessed on a Pass/Fail basis and no grading will be awarded. Not all HKU courses follow the credit system. Please consult your home institution in case of credit transfer. At the end of the courses, a copy of the result notification will be sent to the home institution. The applicant is required to give consent to authorize HKU to do that in Section III of the application form. The decision as how the grades should be used is at the sole discretion of the home institution.

  12. Visiting students must comply with the HKU regulations and procedures governing postgraduate degree courses.

  13. There are two semesters in each academic year. The following are the dates of the Semesters in 2009-2010:
    First Semester : September 1, 2009 - December 19, 2009

    Second Semester : January 11, 2010 - May 22, 2010

  14. Students can view the examination regulations and timetables for their examinations on the HKU world-wide web server (http://www.hku.hk/exam). The timetables will be posted on the web at least two weeks before the examinations begin.
